Timing Recommendations
The right moment dramatically increases response rates. Follow this sequence for each active client.
After First Positive Visit
When a caregiver reports a great visit or a family member calls with positive feedback — strike while the experience is fresh. Send the initial email or SMS within 24–48 hours.
After Service is Established
Once the client and family are comfortable with the caregiver routine (typically 2–3 weeks in), send a warm follow-up request. This is the highest-conversion window.
Follow-Up if No Response
If no review has been posted after the initial request, send one follow-up SMS or email. Keep it brief and low-pressure. Do not send more than two requests per client.
At Service Completion
When a client's care ends, send a warm thank-you message with a review request. Families are often most reflective and grateful at this stage.
Monthly Staff Reminder
At each monthly team meeting, remind caregivers to flag positive interactions to the office so the review request can be sent promptly.
Staff Talking Points
Use these scripts when speaking with clients or families by phone or in person. The key is to ask naturally — right after a positive moment.
Golden rule: Always ask in person or by phone first — it's more personal and converts better than email or SMS alone. Offer to text the link immediately so they have it while the conversation is fresh.
After a Positive Visit
When a Family Member Calls to Compliment a Caregiver
At a Care Plan Check-In
When a Client or Family Says "Thank You"
At Service Discharge
After the Conversation — Send This Text Immediately
